PAC POSITIONS
All positions in red are up for election for the SY2024-2025 and are for a one (1) year term.
Submit your nominations by June 6th for any of the positions to
** for PAC President, note that candidates must have served a minimum of one (1) year as an active volunteer on any PAC committee or one (1) year in a PAC Executive position at Martha Currie Elementary.
PRESIDENT**
Be a parent and/or legal guardian of a child of Martha Currie Elementary.
Candidates for President shall have served a minimum of one (1) year as an active volunteer on any committee of the PAC and served one (1) year in an Executive position on the Martha Currie Elementary PAC.
Convene and preside at all General, Special and Executive meetings, unless notice is given to the Vice-President or other designate.
Ensure that an agenda is prepared and presented.
Know the Constitution and Bylaws of the PAC.
Know the Leadership Manual and meeting rules.
Appoint committees where authorized to do so by the Executive or General membership.
Consult PAC members regularly.
Ensure that the PAC is represented in School and School District activities.
Ensure that the PAC activities are aimed at achieving the objectives and purpose of the PAC.
Be the official spokesperson for the PAC.
Be a signing officer.
Submit an Annual Report.
Keep in contact with the principal regarding school needs and activities.
Along with the PAC Secretary, issue, receive and file correspondence on behalf of the PAC.
Encourage attendance of both Executive and General membership at School Board meetings.
Be an ex officio member of all committees established by the PAC.
Report at staff meetings as invited.
Arrange for signing authorities to be added at the Bank level.
VICE-PRESIDENT
Be a parent and/or legal guardian of a child of Martha Currie Elementary.
Assume responsibilities of the President in the President’s absence or upon request.
Assist the President in the performance on his/her duties.
May be a signing officer.
Know the Constitution and Bylaws of the PAC.
Know the Leadership Manual and meeting rules.
Act as Chair of Dispute Resolution Process.
Ensure that all Executive members and Committee Coordinators sign the Statement of Understanding.
Provide support and assistance to other Executive members and Committee Coordinators as necessary.
SECRETARY
Be a parent and/or legal guardian of a child of Martha Currie Elementary.
Record the minutes of the General, Special, and Executive Meetings.
Keep an accurate and up to date copy of the Constitution and Bylaws and have copies available for Executive members and General members upon request.
Know the Constitution and Bylaws of the PAC.
Know the Leadership Manual and meeting rules.
Along with the President issue, receive, and file correspondence on behalf of the PAC
May be the fourth signing officer, if needed.
Safely file all minutes/records of the PAC in the appropriate PAC-approved Google Drive folder associated with the Secretary email and shared with the PAC Executive, including submitted Committee minutes.
Make copies of minutes/records available to all PAC members up on their request.
TREASURER
Be a parent and/or legal guardian of a child of Martha Currie Elementary.
Be a signing officer.
Be familiar with, follow, and encourage others to follow all Cash Handling Procedures.
Know the Constitution and Bylaws of the PAC.
Know the Leadership Manual and meeting rules.
Disperse funds authorized by the Executive or passed by a vote at a PAC General Meeting.
Maintain an accurate record of all expenditures of the PAC, as well as a year to year, Asset Accrual Statement.
Provide a report of receipts and expenditures at General Meetings when requested.
Work with Fundraising Coordinator and Sub-Committee President(s) to present final “per project” accounting.
Ensure that all funds collected on behalf of the PAC are deposited in an account at a recognized financial institution approved by the PAC.
Make books available for viewing by all members upon request.
Have the books ready for inspection or audit annually.
With the assistance of the Executive, draft an Operating Budget and Tentative Plan of Expenditures as per Section 16 Finances.
Ensure that all financial books are on school premises unless they are being updated and a copy is saved in the appropriate PAC-approved Google Drive folder associated with the Treasurer email and shared with the PAC Executive.
Ensure that another signing officer has access to the books in the event of his/her absence.
Submit a Year End Report.
HOT LUNCH COORDINATOR
Be a parent and/or legal guardian of a child of Martha Currie Elementary.
Know the Constitution and Bylaws of the PAC.
Know the Leadership Manual and meeting rules.
Oversee all aspects of planning and executing the Hot Lunch Program, including liaising with potential and existing vendors; meal planning; order and payment collection; record reporting to PAC for reimbursement; picking up food/grocery shopping; assembling a team to assist in distribution (in conjunction with the Volunteer Coordinator), labelling and sorting items per division; cleaning and other duties as assigned.
Submit a report at the Executive and General meetings.
Address any complaints/issues from parents.
FUNDRAISING COORDINATOR
Be a parent and/or legal guardian of a child of Martha Currie Elementary.
Know the Constitution and Bylaws of the PAC.
Know the Leadership Manual and meeting rules.
Oversee various aspects of PAC fundraising, including developing and executing PAC fundraising activities/events and work in conjunction with the Volunteer Coordinator to run specific events.
Develop a fundraising action plan. Identify and suggest fundraising opportunities.
In conjunction with the Treasurer, keep records relating to fundraising monies.
Provide monthly updates to the committee and at PAC meetings regarding fundraising duties and events.
VOLUNTEER COORDINATOR
Be a parent and/or legal guardian of a child of Martha Currie Elementary.
Know the Constitution and Bylaws of the PAC.
Know the Leadership Manual and meeting rules.
Maintain an up-to-date volunteer database and draw upon those volunteers among others, as needed for PAC events, functions and meetings.
DPAC (DISTRICT PAC) REPRESENTATIVE
Be a parent and/or legal guardian of a child of Martha Currie Elementary.
Know the Constitution and Bylaws of the PAC.
Know the Leadership Manual and meeting rules.
Request direction from the General PAC membership.
Represent and speak on behalf of the PAC at SPC/DPAC meetings.
Attend DPAC meetings and report back to the PAC at every General Meeting.
May appoint an alternate representative from the executive to any DPAC meetings when unable to attend such meetings.
Non-voting position.
CPF (Canadian Parents for French) REPRESENTATIVE
Be a parent and/or legal guardian of a child of Martha Currie Elementary.
Know the Constitution and Bylaws of the PAC.
Know the Leadership Manual and meeting rules.
Represent and speak on behalf of the PAC at any CPF meetings.
Report back to the PAC at every General Meeting.
